Tenant Guide to the renting procedure

WHAT WILL RENTING A PROPERTY COST ME?

  • On completion of your application form, we will require a payment of £50.00 inc VAT per individual applying in order to process the application and carry out the referencing procedure.
  • Should your application be successful, we will ask for a further payment of £120.00 inc VAT to cover the cost of drawing up the tenancy agreement and preparing the inventory
  • On completion of the tenancy agreement, we will require one month's rent in advance and a deposit which is usually equivalent to between one and two month's rent.

In certain cases you may be asked to provide a guarantor if you are unable to prove your income or you are between work positions. The purpose of the guarantor is to honour your rental obligations if you are not in a position to. To qualify as a guarantor, they will need to earn roughly 3.5 times the monthly rent agreed and have been in continuous employment for at least 12 months (ask your representative for details on rent ratios if you are unsure). If you think you may need a guarantor, you will have to complete a further application form and note that a further charge of £50.00 will be incurred to reference the guarantor in the same way as yourself. This amount will need to be paid before we are able to proceed further.

Please note: Once your application has been accepted our administration fees are non-refundable. Please only apply for a property if you have every intention of moving into it and you are sure that you can provide a suitable guarantor should one be required. The Administration fee you have paid will only hold the property for 7 working days. After this time, if you haven’t paid your deposit, the property will automatically be re re-advertised and could be let to somebody else.

THE REFERENCING PROCEDURE:

Processing the application, including carrying out the referencing procedure normally takes about 3 - 5 working days, as long as you can provide us with all the information we have asked for. Should we encounter problems, they are likely due to:

  • Application forms not being completed correctly or fully
  • Problems in clarifying your employment, particularly from larger organisations or Local Authorities / Public Service employers
  • Difficulties in obtaining landlord references

IF YOU ARE SUCCESSFUL IN OBTAINING THE PROPERTY:

If your application is successful, we will confirm a date to move in and arrange an appointment to meet you at either our office or the property on the move-in day. We will also need one month’s full rent in cleared funds by the day you are going to move in and you will be required to pay your deposit in full. We can accept payment in the form of a cheque (payable to David James Lettings Ltd and subject to 10 days clearance), bankers draft, bank transfer or cash.

In the week leading up to your move-in date, we will draw up your tenancy agreement. This will need to be signed by all tenants before you move into the property. We will arrange an appointment for you to come into our office, to sign these agreements. If you have a guarantor, you will also need a signed deed of guarantee.

CONTENTS INSURANCE:

Completing a tenancy on a David James property is subject to taking out a David James Tenant’s Contents insurance policy. Each policy is competitively priced and offers cover not only for Tenant’s posesssions, but also a level of cover for Landlord’s fixtures and fittings. This extra cover gives both Landlords and Tenants peace of mind in knowing that any damages can be claimed on your insurance policy instead of being deducted from your deposit. Your letting coordinator will talk to you about the levels of cover available and the competitive prices. You must have a David James Tenant’s Contents Insurance Policy in place at the start of the tenancy in order for us to release keys to you.

YOUR DEPOSIT:

David James Lettings are members of the The Dispute Service (TDS) and all deposits taken from our tenants will be held in a ring-fenced clients account and registered with the scheme. For more information on Tenancy Deposits, please visit the website at: www.direct.gov.uk/en/TenancyDeposit/DG_066373. Should your new Landlord decide to hold the deposit themselves in their own scheme, you will be made aware of this a the outset of the tenancy.

MOVING DAY:

On your moving day, we or your Landlord will meet you at the property to hand over the keys and take your meter readings. At the same time, you will be provided with an inventory that needs to be checked and completed during the first few days at your new. We will also need to collect a standing order form for future rent payments, and your completed insurance application.
